How Finom AI works (and how we protect your data)

Finom AI is built into your Finom account to help you get things done faster — asking a question in plain language instead of digging through menus, making sense of a document, or getting help with everyday admin.

We know that handing anything to an AI raises a fair question: what happens to my data?

Here's a straight answer.

What Finom AI does

Finom AI is a conversational interface inside the Finom platform. You can ask it things in your own words — no special commands, no fixed phrasing — and it helps you navigate the platform and your account.

AI also works behind the scenes in some Finom features, supporting tasks like reading and categorizing documents, extracting and summarising information, and speeding up accounting and reporting workflows where those features are available to you.

We don't use your data to train AI models!
This is the short version: your business data is not used to train general-purpose AI models.

To give you more details: the AI technology providers we work with are contractually prohibited from using your data to train their models.

Separately, we may use anonymized or aggregated data from AI interactions to improve how well our services work. Anonymized means it can no longer be linked back to you or your business.

What data does Finom AI use — and what for?

When you ask Finom AI for something, it may need context to give you a useful answer — for example, your profile information, account details, transactions, invoices, or what you're currently doing on the platform.

Three things are true about that:

  • It's data we already hold. Finom AI works with information you've already provided or generated by being a Finom customer. It doesn't go looking for anything new about you.

  • It's used for that request, and that request only. The context is there to answer what you asked. It isn't kept around to build a profile of you or repurposed for something unrelated.

  • It's handled securely. Data is encrypted in transit and processed under strict contractual safeguards with our AI technology providers, in line with GDPR and our Privacy Policy.

Who processes your data?

Finom (PNL Fintech B.V.) is the controller of your personal data when you use AI-enabled services. That means we decide how it's processed and we're accountable for it.

To deliver these features, we work with specialist AI technology providers. They act on our instructions, under data processing agreements that set out exactly what they may and may not do with your data — including the ban on training their models with it.

You stay in control

  • You choose when to use Finom AI. It responds when you ask it something.

  • We will ask permission for performing proactive actions. You can choose 'Always allow' so you don’t have to approve actions every time, and you can edit access in the settings anytime.

  • You keep all your usual data rights under GDPR, including access, correction, and deletion.
